Terms and Conditions

1. Introduction

By registering to exhibit with Halal Travel Network (HTN) at the Qatar Travel Market (QTM) 2024, exhibitors agree to the following terms and conditions. Participation in the HTN Pavilion offers exhibitors a valuable platform to showcase their products and services, supported by extensive marketing and networking opportunities facilitated by HTN.

2. Participation Fee

There is a cost for exhibiting with HTN at the QTM Pavilion which should be discussed with HTN as this will vary per exhibitor due to the exposure and size of the company.

This fee is non-refundable and covers participation within the HTN Pavilion.

Exhibitors are responsible for all additional costs, including but not limited to travel, accommodation, meals, visas, and the preparation of marketing materials.

3. Exhibitor Attendance Options

Exhibitors have two participation options:

  • Space within HTN Pavilion: Exhibitors attending in person will manage a designated space within the HTN Pavilion but will not manage an individual stand.
  • HTN Representation: Exhibitors may send marketing materials for HTN to display on their behalf. In this case, exhibitors must provide adequate time to brief HTN on the products or services being exhibited to ensure proper representation.

For both options, exhibitors should liaise with HTN to ensure the smooth running of their participation and the optimal presentation of their brand.

4. Exhibition Inclusions

The participation fee includes:

  • Promotion as part of the HTN Pavilion, which offers significant visibility and engagement opportunities through various platforms.
  • Exhibitors will benefit from full promotion across multiple channels, including:
  • Featurettes on HTN’s website and social media platforms in the run-up to and during the event.
  • Inclusion in press releases and media outreach, with exhibitor products and services highlighted in QTM and HTN communications.
  • Brand exposure on the QTM website, showcasing participation in the HTN Pavilion to global audiences.
  • On-site marketing coverage, including mentions during media interviews, video content, and social posts featuring HTN Pavilion exhibitors.
  • Digital marketing campaigns coordinated by HTN that showcase exhibitors' products and services before and during the event.

5. Marketing Materials and Space Allocation

Exhibitors are responsible for providing all marketing materials, including physical and digital content such as banners, brochures, and product images.

Exhibitors should liaise with HTN to determine the appropriate size and volume of marketing materials to bring or send for the event. HTN will make reasonable efforts to ensure that all exhibitors are given adequate and fair branding space within the pavilion.

However, HTN cannot guarantee that all marketing materials will be displayed at all times during the event, depending on space availability and overall design.

6. Code of Conduct and Professionalism

Exhibitors must maintain a high level of professionalism at all times during the event and ensure that they respect Qatari culture and customs. Disrespectful behaviour or any actions that could negatively affect the reputation of HTN or the QTM event will not be tolerated. Exhibitors are expected to comply with all relevant event regulations as provided by QTM.

7. Payment Terms

Full payment is required to confirm participation and must be made upfront unless otherwise agreed in writing.

The participation fee covers the space within the HTN Pavilion and marketing support. It does not include travel, accommodation, meals, visas, or any additional marketing materials beyond those agreed with HTN.

8. Dismantling and Departure

All displays must be fully assembled prior to the start of the event on November 25th, 2024 and must remain in place until all visitors have left on November 27th, 2024.

Exhibitors must contact the HTN team if they require any further information regarding setup or takedown arrangements.

9. Liability and Insurance

HTN and the event organizers will cover insurance for the event, including public liability insurance, for the event duration (25th to 27th November 2024).

Exhibitors are responsible for the safety and security of their materials outside of the official event dates and outside the event premises.

HTN will take reasonable care to manage any materials sent by exhibitors for representation but assumes no liability for loss, theft, or damage to those materials.

10. Event Amendments and Force Majeure

In the event of cancellation or postponement of QTM 2024 by the organizers, HTN will make every effort to explore alternative arrangements but will not be liable for any financial losses incurred by exhibitors.

HTN reserves the right to modify or cancel participation due to circumstances beyond its control, including but not limited to natural disasters, pandemics, or other force majeure events. No refunds will be issued in such cases.

11. Intellectual Property

All intellectual property, including trademarks, logos, and product designs, will remain the property of the exhibitor.

By participating in the HTN Pavilion, exhibitors consent to the use of their promotional materials by HTN and QTM for marketing purposes, including event and brand promotion.

12. Final Agreement

By agreeing to these terms and conditions, exhibitors confirm their participation in the HTN Pavilion at QTM 2024. Exhibitors acknowledge their responsibility for meeting all financial, legal, and logistical obligations as outlined in this document.
